Job Description:
We are looking for a meticulous and experienced Tender and Bid Executive to join our team. The ideal candidate will have strong expertise in managing Requests for Proposals (RFPs), tender submissions, and proposal creation. This role requires a keen eye for detail, excellent organizational skills, and the ability to work under tight deadlines.
Responsibilities:
Tender and Bid Management
- Identify and review tender opportunities aligning with the company's business objectives.
- Ensure the team completes the end-to-end tender process with adherence to timelines.
- Guide the team to ensure timely submission and quality control of tender documentation.
Proposal Writing and RFP Management
- Oversee the development and submission of high-quality proposals or RFP responses.
- Tailor proposals effectively to meet client-specific requirements.
- Collaborate across departments to ensure team members gather accurate and relevant content.
Documentation and Compliance
- Maintain an error-free documentation repository for tenders and proposals.
- Regularly update proposal templates and manage a database of all submitted tenders.
- Supervise team members to ensure all documents meet regulatory and legal standards.
Team Management and Coordination
- Lead and mentor tender executives to enhance their expertise.
- Conduct training sessions to improve team capabilities in tender and proposal management.
- Resolve team conflicts and foster a collaborative environment.
Client Coordination
- Address client queries promptly and maintain a high resolution rate.
- Establish and nurture long-term relationships with key clients and stakeholders.
- Ensure the team maintains consistent and professional communication with clients.
Market Research and Strategic Insights
- Conduct market analysis reports to identify new opportunities.
- Present actionable insights to management for strategic decision-making.
- Guide the team in tracking and analyzing market trends, government policies, and competitor activities.
Reporting and Metrics
- Submit progress reports to management regularly.
- Provide clear insights into team performance and tender outcomes.
- Ensure reports reflect actionable and data-driven insights.
Preferred Qualification:
Qualifications:
- Bachelor’s degree in Business Administration, Marketing, or a related field.
- 1-3 years of experience in tender management, bid coordination, and proposal writing.
- Strong knowledge of RFP processes and documentation.
- Excellent written and verbal communication skills.
- Strong organizational skills and attention to detail.
- Ability to work independently and as part of a team.
- Proficiency in MS Office, particularly Word, Excel, and PowerPoint.
